Renewal and Online Registration Resource

Unit renewal and member renewal are no longer be one and the same. Membership is now a set 12 month term from the time of registering regardless of when the unit renews. Youth and adult leader membership are separated from the unit renewal.

Below are the instructions and resources to help you complete the 2025 Membership and Unit Renewal process.

UNIT RENEWAL STEPS (Key 3 Access)

  1. Go to My.Scouting.org and open Organization Manager.

  2. Click “Unit Renewal” in the menu.

  3. Validate unit and member information.

  4. Review and update any information.

  5. Enter your name in the signature field.

  6. Pay and submit.

  7. Complete the Annual Charter Agreement (this form paper form and submit it to the council office).

STEPS FOR UNIT RENEWING THEIR MEMBERS (Key 3)

  1. Unit Key 3 member logs into My.Scouting.org and navigates to Organization Manager > Roster.

  2. Select the members you want to renew.

  3. If selecting the “Pay at Council” option:
    a. Print the document from the “Print” area at the top.
    b. Sign the document.
    c. Submit the signed document to the Council office with payment.
    d. Once payment is submitted at the council office, the process is complete.

  4. If creating renewal orders online:
    a. Review and select the positions to renew for each person.
    b. Create renewal orders.

  5. Select payment method:
    a. Pay online by Credit Card or ACH.

    • Follow prompts to use a saved card or enter a new one.

INDIVIDUAL RENEWAL STEPS

  1. Go to My.Scouting.org and log in.

  2. Click the Notice icon in the top right.

  3. Select the pop-up message: “Registration for John Doe is expiring soon, click here to renew.”

  4. Review information and click “Go To Payment.”

  5. Agree to the Terms & Conditions.

  6. Confirm or edit Scout Life subscription.

  7. Enter or confirm credit card information.

  8. Select “Place Order.”

  9. Select “Complete Registration.”

Re-Registering a Cub Scout, Scout, or Adult Leader After Their Membership Expires

When a youth or adult registration expires, they automatically drop off the official My.Scouting roster. Once removed, the system no longer allows a normal renewal. To return to the roster, the individual must submit a new application.

This applies to all positions—youth, adult leaders, and committee members.

How to Rejoin

Option 1: Online Application (Recommended for Youth & Most Adults)

Parents/guardians or adults can complete a new online application:

Visit: https://beascout.scouting.org

Youth: Submit a Youth Application online.
Adults: Submit an Adult Application online, including the required background check acknowledgments.

After submission, the unit’s Key 3 reviews and approves the application in Application Manager.
Once approved, the individual will appear back on the unit roster.

Option 2: Paper Application (Youth and Adults)

If online registration is not possible:

  1. Complete a Youth Application  or Adult Application 

  2. Submit the form and any applicable fees or documents to the unit or council

  3. Council will process the application and add the member back to the roster

Adults must also complete:

  • Background Check Authorization

  • Any required training based on the position (e.g., Youth Protection Training before approval)

Financial Assistance (Youth Only)

Families applying for financial assistance must not use the online application.
They must complete the Financial Assistance Registration Form, available on our website:

www.wmascouting.org/membership

Important Notes

  • Expired youth or adult registrations cannot be renewed directly in My.Scouting.

  • new application is required whenever someone drops from the roster.

  • Adults returning to a unit must be re-approved by the chartered organization.

  • Youth Protection Training (YPT) must be current before an expired adult can be added back to the roster.

  • If an applicant has multiple Member IDs from past registrations, the registrar will merge them so all records stay under one ID.
